Key Responsibilities

The Receptionist is the first point of contact for all visitors and is expected to provide an exceptionally professional and friendly service.

This role is primarily to support the Centre’s clients and to provide them with reception services, as well as supporting the Centre team.

The post holder must ensure that all visitors to the centre feel welcome and confident that they will be cared and catered for at all times.

They will be expected to look for ways of exceeding clients’ expectations so that they feel that they received that little bit extra that they hadn’t anticipated. They must work with the Centre team and independently to ensure that they place customer service at the centre of their duties.

Working within a group of business centres it is important that the post holder supports colleagues in the Group’s other business centres: this may be by attending meetings, training events or covering absences and busy periods.

Travel expenses will be paid in line with the Company’s Travel Policy.

Key Activities

  • To be punctual
  • To be based at the reception desk at all times
  • To meet and greet all visitors immediately on their arrival at the Centre – ensuring that they are aware of, and adhere to, security and health and safety arrangements
  • To ensure that the reception area meets the high standards of presentation in relation to cleanliness and tidiness
  • To ensure all visitors to the centre sign in and are recorded on our cloud based system
  • To answer and deal with all incoming telephone calls, routing them appropriately and in line with clients’ instructions and within set timescales
  • To take messages in line with clients’ instructions
  • To provide postal services – sorting incoming post and ensuring this reaches clients in a timely manner, and ensuring outbound post is stamped with the appropriate amount in time for the daily collection and charges logged
  • To arrange for couriers as requested by clients and to log charges
  • To ensure that all incoming parcels are logged as per the P&Ps and clients collect in a timely fashion
  • To assist in preparing documents for clients using MS Office
  • To assist clients in booking meeting rooms
  • To follow all Policies and Procedures in relation to reception and administration services, including ensuring all administration and paperwork is accurate and up to date
  • To assist clients in any other way either by carrying out their requests or by passing on the request to a more appropriate team member
